How Does IT Financial Management Work?

Real-time data on cost generation and development provides you with the basis for optimal use of financial resources. Stakeholder-oriented dashboards and reports facilitate decision-making and simplify communication with specialized departments regarding cost allocation.

Industry-standard cost models (Bee Approach, TBM, CIGREF, and others) provide a logical taxonomy and allow you to leverage and integrate structures from your financial systems. This makes the value contribution of IT transparent.

Frequently Asked Questions

Bee360 complements SAP. SAP is the system of record for bookings: cost centers, cost elements and the accounting view. Steering IT needs a different view: costs by service, application, project and supplier, linked to capacity and portfolio decisions, with planning and rolling forecasts.

Bee360 is able to pull actuals automatically from SAP, so the figures are reliable and current without manual consolidation. bardusch moved from Excel to Bee360 and can now view IT costs from different perspectives at the push of a button. Their IT manager puts it this way: "For us in IT, Bee360 serves the same role SAP does as a centralized IT system for the business departments." In short, SAP tells you what was booked; Bee360 tells you where costs originate, what they deliver and what you can still change.

Yes. Bee360 brings together internal personnel costs (including cost centers and locations), external services and consultants, suppliers and contracts, licenses and maintenance, and assigns them to the services, applications, projects and continuous improvements they serve. Costs can be analyzed by cost type, vendor, organizational unit or business domain.

The focus is on cost origin, not allocation. Costs become visible where decisions are made, not at the end when the window to act has closed. Generic cost types, comparable to SAP cost element groups, keep reporting overhead low without sacrificing transparency.

Yes. Reducing costs strategically does not mean cutting every budget by the same percentage. It means deciding which costs to stop because they deliver too little, and that decision is only possible when you know where costs originate and what they deliver.

Bee360 creates exactly this link. Every cost, whether internal staff, external services, licenses or contracts, is assigned to the application, service or project it serves, and these in turn are linked to the business domains and strategic initiatives they support. This shows where money flows into topics with little strategic value: redundant applications that can be consolidated, overlapping services that can be merged, or external capacity that is no longer needed. Phoenix Contact used this view to phase out excess external consultants in a major SAP program and achieved relevant savings. Because plans and forecasts are updated on a rolling basis, these decisions can be taken while there is still room to act, not when the annual budget has already been spent. The result: costs come down where they deliver the least, while the topics that matter most remain protected.

Isolated ITFM tells you what was spent, but not why, and not what to do about it. Technology costs are driven by portfolio decisions and strategic execution, so financial steering needs to see those decisions. Without that link, the business tends to perceive IT as free, and makes technology decisions that create complexity and additional cost.

Capacity and cost cannot be managed separately: the moment you weigh prioritization, build-or-buy or sourcing, you need both dimensions at once. Integrated ITFM also lets you show how technology contributes to business results.
